Program Coordinator

Established in 1987, the Minnesota Council of Nonprofits (MCN) has 2,000 members. As Minnesota’s membership association of nonprofit organizations, MCN works with its members, foundations, businesses and government to provide the information and services Minnesota’s nonprofits need.



JOB TITLE: Program Coordinator
LOCATION: Twin Cities Metro

TYPE: Full Time    DEADLINE: 7/24/2009

PRIMARY DUTIES AND RESPONSIBILITIES:
Objective

The program coordinator plays an integral role in providing resources and information to Minnesota’s nonprofits by dissemination through the Web and other outlets and by implementing MCN’s ambitious calendar of events. The Program Coordinator leads and supports program design, implementation, logistical, administrative and marketing efforts. The Program Coordinator position is a full-time position.

Specific Functions and Tasks

1.Planning
Work with Program Director to develop annual programming plan including resources and information, online and live events.

2.Events Marketing and Communications
•Assist in designing print- and online- marketing templates for events, resources and information promotion, including:
oPrint: Programs, fliers, brochures, signage
oOnline: Web pages, online flier templates
•Email communications – craft and send marketing and promotional emails regarding events, resources and information
•Gather information to format and distribute the Smart Nonprofits e-newsletter on a regular basis.
•Social media – engage in social media to promote MCN events, resources and information including blogs, Facebook, LinkedIn, Twitter, etc.
•Allies and Partners – communicate with Allies and partners to help with promotions
•Assist in other ways to make events and resources marketing a success

3.Events and Workshops Administration
•Planning –coordinate logistics including securing venues, catering, food and beverages, A/V, and other items such as sign language interpreters and Webinar facilitators when needed
•Preparation – prepare handouts and materials for participants, including nametags, registration materials, signage, email reminders, materials online, and packing for events
•Follow Up – includes follow up emails, materials online, thank yous, issuing participation certificates where appropriate, and unpacking from events
•Scholarships – serve as the point person for scholarships, fielding emails and questions, accepting and organizing scholarship request information
•Supplies – keep inventory and stock events supplies cabinet
•Customer Service – field phone calls, emails and walk-in questions about event and workshop details
•Database Management – enter and maintain event information in database, update organization- and customer-records from email blast responses
•Web Site Management – update and maintain events and workshops information on the Web
•Speaker Communications – help to assess and secure speakers for events, coordinate details with speakers, maintain communications with speakers and follow up with speakers as appropriate
•Webinars – serve as lead on understanding and implementing Webinars, including being lead facilitator on Webinars and training others in this role
•Event Content – help to develop and deliver event content where appropriate
•Nonprofit News – contribute events information to Nonprofit News including quarterly schedule of events

4.Conference Administration
•Conference Committees – staff conference committees, take notes and communicate to committee members
•Communications with speakers – organize speaker information in usable form and communicate with speakers, sending updates and gathering pertinent information such as A/V needs, and handouts and materials for participants
•Participant packets – coordinate assembly of participant packets including gathering appropriate materials and coordinating MCN staff and volunteers to stuff packets
•Conference content – help to develop conference content including keynotes and breakout sessions

5.Staffing Events
Support MCN events by being at events, helping to set up, serve as a lead MCN staff person at the event, and fulfill necessary roles at events including registration table, posting signage, setting up A/V, supporting presenters, and providing high quality hospitality and customer service

6.General
•Database Management – Entering and maintaining event information in database, updating organization and customer records from email blast responses
•Other assignments as requested to ensure the success of MCN’s programs

EXPERIENCE AND QUALIFICATION REQUIREMENTS:
Required Education, Experience, and Skills

•B.A. or equivalent with at least two (and preferably four) years of experience working on a full-time basis in a nonprofit organization.
•Demonstrated computer skills, including competency in using Microsoft Windows and Office (Word, Excel, Outlook, Access), QuarkXpress, and Dreamweaver or other HTML editing software. Experience entering data into a database.
•Demonstrated interest in developing and using social media to create connections and engage audiences.
•Proven ability to pursue, develop and maintain external relationships which benefit the organization and its programs.
•Demonstrated ability to efficiently organize, coordinate, track and complete multiple tasks as well as adjust to changing priorities.
•Ability to anticipate and proactively meet the needs related to job responsibility areas.
•Strong interpersonal skills, including the ability to interface effectively with other staff members, conference participants, and the public.
•Well-developed verbal and written business communication skills with the proven ability to compose letters and written material independently.
•Ability to function as part of a team and work independently.
•Detail oriented, with the ability to organize and track details effectively and efficiently.

ADDITIONAL INFORMATION:
Reports to: Program Director
Classification: Regular, Full-time (40 hours/week), exempt
Compensation: $31,600 - $47,400 per year ($31,600 - $39,500 per year starting range) plus benefits, which include health insurance, disability, retirement plan, life insurance, three weeks vacation plus major holidays.
